Club Automation Transition

On Tuesday, November 16th Rideau Sports Centre will transition to a new single-software solution – Club Automation! We have already handled transferring your information including, payment history, registrations, bookings and passes into Club Automation and will be ready to help you get into the new system on day one. In the coming days, a growing FAQ will be found below to help guide you through the transition!

Immediate Timetable 

Our online portal is now open, (Click here) to get started! All features of the online portal, including registrations, class bookings and court bookings, are currently functional. Phase 3 will launch on Monday, November 29th which will include the option for automatic payments. How do I login?

(Click here) to get to the main landing page for the new software!

Once there, select “Access My Account” in the upper right corner and you will be directed to fill in your first name, last name and email. This will send a new login link to that email where you’ll get access to the system! Simply input your new username (doesn’t have to be your email) and a new password. Once in, you’ll be able to fill in your personal information, billing information and sign our waiver.

What is new with Tennis Court Bookings? 

Tennis Court bookings no longer require your payment at the time of booking, instead it will be done when you check in. Checking in before your court time is now mandatory in order to confirm everyone is paid for the court and that they are in our system. To help speed up the payment and check in process, we recommend you put your credit card on file with us. 

The system will also break down the payments automatically in a specific way. See below for how this will effect you: 

If you are a 2021 Passholder – Your fee will automatically be tied to your booking whether you are player 1, 2, 3 or 4. This fee is based on how many people are in the booking (for example, $50 divided between two passholders would mean each player must pay $25 separately). This can only be overridden in person at the desk. 

If you are not a 2021 Passholder – the booker of the court will be charged your portion of the court fee. 

Scenario: I am booking a court and two of the four players I schedule in do not have a 2021 Pass. I will be charged my portion, as well as two other player’s portions as they are not Passholders. The final player who does have a Pass will have their portion of the fee tied to their account. 

Known Glitches & Fixes Incoming

  • Credit cards cannot be saved on your account from the online portal. This will be updated soon, but in the meantime you can save your card information with us in person or over the phone. 
  • Some users are experiencing a login loop where it states “an error has occurred”. We hope to have this fixed by end of day today, but in the meantime we suggest refreshing the page before re-entering your login information. 
  • Waitlist functionality from the Online Portal is not functioning as intended. Any sold out program will show a “Call” button. You are still able to add yourself to the waitlist by emailing info@rideausportscentre.com, calling us at 613-749-6126 or stopping by our Customer Service desk. 
  • Account Balances, credits and packages will continue to appear incorrect in some instances while we run our financial audit from the data import. All accounts should be accurate by the end of this week. 
  • Online Tennis Court Bookings are currently limited to 60 or 90 minute booking. This will be fixed ASAP to allow for 60, 90 or 120 minute bookings. You can still book two hours over the phone or in person.

Monday, November 22nd. 

The rollout of our new software is going according to plan, and the time has come to access bookings and registrations from the comfort of your own home.  Phase 2 of 3 begins now, which means you can not only access your account, but you are also able to register for programs, book Tennis courts and book your spot in our Group Activities (Tennis Round Robins & Fitness/Yoga Classes). 

See below for a step by step guide for how you can interact with our new Online Client Portal! As mentioned in the last communication, by clicking this link you will be able to access the FAQs and helpful guides/updates. 

Known Bugs/Fixes 
We have encountered some instances where the software is not behaving as it should. These are part of the wrinkles that come with a software implementation and we are working closely with our transition team to help resolve them. See below for a list of bugs/glitches that we are currently aware of and are working to resolve ASAP.

Tennis Court Bookings – A New Process
Due to the significant change in the method of booking, it is required that you check in at our Customer Service desk BEFORE your tennis court booking or Private Lesson. We will update you when this requirement is dropped. 

With the migration to Club Automation, the most changed service is booking courts. The flexibility and ease of booking will be significantly increased, however there are some key points to keep in mind before you book online. 

You will no longer be charged at the time of your booking if it is being done online, so don’t panic if you haven’t paid – once you see the confirmation in your “events” section on the Home screen, you’re all set.  Payment will be processed the day of the booking when you check in at the Customer Service Desk.

Program Registrations – Tennis/Multi-Sport
Program registrations for Adult/Children/Youth Tennis programs, Multi-Sport programs and Winter Break Camps are now live, but with very limited space as they are filling up quickly!  You will be able to access these under the “Programs” tab. As with other tabs in our new software, you are able to filter through to find exactly what you’re looking for. 

When you register for a program, it will be added to your cart in the top right corner, at which point you will have to pay through the portal within 15 minutes to guarantee your spot. 

Round Robins, Yoga & Fitness Classes – Now Group Activities
You will now be able to find all Round Robins, Yoga & Fitness classes under the “Group Activities” section. When booking, you can filter by the day, search the specific class you’re looking for, or differentiate between Fitness, Tennis or Yoga. 

We have added all active passes on their appropriate accounts in the new system. If you have a package with us for classes, you will unfortunately have to continue booking in person or over the phone until the packages have been successfully transferred over. 

The customization and accessibility of this new software is more advanced than what we have had before, but there will be a slight learning curve while everyone experiences this new Online Portal for the first time. Rideau Sports Centre – Phase 1 Opening of Online Portal

Dear RSC Clients,

This has been an exciting week as we have successfully migrated to a new booking software program, and we are thrilled to launch the first phase of our new Online Portal.  Starting now, you are able to login to our new software and update your personal information

See below for a step by step guide for logging in and a handful of FAQs. As mentioned in the last communication, by clicking this link you will be able to access the FAQs and helpful guides/updates.

How do I access my Account?
Select “Access My Account” on the main landing page at www.rideausportscentre.com.

Once there, fill in your first name, last name and email. Completing this will send a login link to that email where you will be able to create a username (does not have to be your email) and a password. These are the same steps for brand-new clients as well!

You will then be prompted to fill in your personal information or just verify that it is correct, sign our waiver and you’ll be all set!

What Can I do in the Online Portal Now? 
At this point the only permissions revolve around setting up your personal and billing information. You will be able to see any passes you have tied to your account as well as your statement (see below for more information on balances).

One of the perks of switching to Club Automation means having the ability to safely store credit cards on file with us. While this isn’t mandatory, it will speed up your check-in process and greatly improve how you interact with RSC.

Starting towards mid-day on Monday, November 22nd, you will be able to access all features of the online portal such as registering for group activities, booking courts and signing up for programs.

Known Glitches & Fixes Incoming
Majority of the errors you will see on your account stem from the data import – something that was very challenging when bringing together two different platforms. For the time being, most packages and credits are still being transferred and are expected to be completed by Tuesday of next week. If you want to access a credit or package, please continue to book in person or over the phone.

Due to packages and credits not being imported fully yet, balances on accounts may look like you owe money. We ask for your patience on this while we run a full audit towards the middle of next week to fix this.

Rideau Sports Centre – Online Portal Announcement

Dear RSC Clients,

Rideau Sports Centre (RSC) will be transitioning to a new software program, Club Automation, as of Tuesday, November 16th.  This change will greatly improve our processes and enhance how you interact with RSC.

Our team has worked hard to transfer all historical purchases, current registrations, passes and court/class bookings and personal training appointments into the new system.

Online court bookings, program registrations and class reservations, however, will not launch until November 23, so in the meantime, please note the following schedule:

  1. November 15 at 8:00 pm our current systems are taken “off-line” – online court bookings and class reservations on our current systems will no longer be possible after this time.
  2. After November 15 8:00 pm court bookings and class registrations must be done over the phone or in person with our front desk.  Like the online system, bookings will open every day at 7:00 am and the same booking rules will apply for passholders vs non-passholders.

November 23, 7:00 am court bookings and class registrations go live again on our new system.

We encourage you to click here for the latest information on our system transition. This webpage will be updated as we progress throughout next week. Software transitions can be rocky at times, but we are confident in the advanced options Club Automation will provide us moving forward. Our team will be available to help you at all times and to ensure there is no gap in your regular activities at RSC.
